Cluboom is used by grassroots sports clubs whose members include children and young people. This policy explains the safeguarding role that Cluboom plays as a digital platform, and how safeguarding concerns should be raised.
1. Cluboom’s role
Cluboom provides digital tools that support Clubs with safer administration — such as role-based access, structured records, controlled communication and audit trails.
Cluboom is not the Club’s safeguarding authority. Clubs remain responsible for safer recruitment, supervision, their own safeguarding policies, and for reporting and escalating safeguarding concerns in line with governing-body and statutory requirements.
2. Club responsibilities
Clubs using Cluboom should ensure they have, and follow, their own arrangements for:
- Safer recruitment of coaches, volunteers and officials.
- Appropriate supervision of children and young people.
- A designated safeguarding or welfare officer.
- Clear routes for members, parents and staff to report concerns.
- Compliance with the requirements of their governing body and applicable law.
3. Reporting a safeguarding concern
If a child, young person or vulnerable adult is in immediate danger or requires urgent medical attention, contact the emergency services on 999 (or the appropriate local emergency number).
Safeguarding concerns that are not an emergency should be reported to the relevant Club safeguarding or welfare officer, and escalated through the appropriate statutory channels (for example the NSPCC on 0808 800 5000, or your local authority children’s services) and the relevant governing body where required.
Cluboom support should only be contacted for safeguarding concerns that involve misuse of the Cluboom platform, account access, or content hosted within Cluboom (for example inappropriate content posted through the platform, or unauthorised access to an account). Cluboom support is not a safeguarding-reporting service or an emergency response channel.
4. Reporting misuse of the platform
To report misuse of Cluboom, unauthorised access to an account, or inappropriate content that has been uploaded through the service, contact us at support@cluboom.co.uk. Please include as much detail as you can. We will respond within a reasonable time and, where necessary, work with the affected Club and the appropriate authorities.
5. Photographs and content involving children
Clubs are responsible for the photographs and content they upload to Cluboom, including for obtaining any parental consents required by their governing body or by law. Parents can request removal of images or information about their child at any time through the Club or by contacting Cluboom support.
6. Review
We keep this policy under review and update it as our platform and applicable guidance develop.
